Asana AI Custom Fields: Instantly Generate Smarter Single-Select, Multi-Select, and Autofill Dropdowns

Asana AI-generated custom fields interface for a 'Marketing ops tracking' project

Asana's new AI-powered feature for custom fields is a game-changer—allowing you to instantly generate options for single-select and multi-select fields using Asana Intelligence. Whether you're streamlining intake forms, standardizing workflows, or categorizing projects, Asana AI Custom Fields can save you tons of time and boost consistency across your workspace.

In this guide, you’ll learn how to:

  • Prompt the AI to generate dropdown field options based on your use case

  • Fine-tune your field options using the Field title and Description

  • Let the AI auto-fill dropdown selections based on task properties

  • Apply this to real-world examples like lead stages, weeks of the year, and more

What are Asana AI Custom Fields

When creating a new single-select or multi-select field, you'll now see an option to "Recommend field options with Asana Intelligence." This feature is available across both legacy and current plan tiers (Premium, Business, Enterprise → Starter, Advanced, Enterprise+).

You provide a Field title, optionally a Description, and then click “Recommend.” The AI will generate dropdown options, which you can accept, edit, or retry.

How to Use Asana AI Custom Fields

To use this feature:

  1. Open the Customize menu in any project.

  2. Click Add custom field.

  3. Choose Single-select or Multi-select as the field type.

  4. Enter a Field title—this acts as your main prompt.

  5. (Optional but recommended) Click + Add description to add more context for smarter results.

  6. Click the Recommend button to let the AI generate options for you.

Example 1: Generate a Lead Stage Field

  • What You’ll Learn:

Use AI to instantly create a dropdown list of pipeline or stage values, ideal for sales or project workflows.

  • How to Do It:

    1. Go to Customize → + Add custom field

    2. Set field type to Single-select

    3. Enter Lead stage as the Field title

    4. Click the Recommend button

  • The AI will generate something like:

    • New

    • Contacted

    • Qualified

    • Proposal sent

    • Won/Lost

  • Want emojis or more personality?

    1. Add a description like: "Add emojis for each stage and use vibrant colors."

    2. Then hit Retry to refine your list.

Example 2: Generate a Week Number Field (1–52)

  • What You’ll Learn:

Use AI to generate long, repetitive lists—like all 52 weeks of the year.

  • How to Do It:

    1. Field title: Week

    2. Description: “List all 52 weeks of the year, in order, labeled as Week 1, Week 2, etc., without Color”

    3. Hit Recommend - and voilà, you’ll get the full list.

Want a shorter format? Try this description instead:

Abbreviate weeks as Wk 1, Wk 2... no emojis."

Refine as needed using the description box—this acts like a ChatGPT prompt!

Example 3: Use Auto-Fill to Populate Dropdown Values

  • What You’ll Learn:

Let AI auto-fill field values in bulk, based on other task properties (like Due Date). This is great if you created a "Week" field and want Asana to automatically tag tasks with the correct week based on when they’re due.

  • How to Do It:

    1. Create your custom dropdown (e.g., Week 1–52)

    2. Select all relevant tasks

    3. Click on the empty dropdown cell

    4. Scroll to the bottom and choose Auto-fill field value

    5. The AI will intelligently apply the correct value—e.g., Week 12 for a task due in March.

Pro Tip:  Add a helpful field description like:

Week of the year based on Due Date

This improves AI's accuracy during the autofill step.

Example 4: Generate Location or Region Fields (with Style!)

  • What You’ll Learn:

Get creative with region-based lists like U.S. states, countries, or time zones—with emojis, abbreviations, and more.

Prompt Ideas:

Field Title

Description

Output

US State

(blank)

Full list of 50 U.S. states

US State

"abbreviated"

AL, AK, AZ…

US State

"abbreviated, with emojis"

AL 🏞️, AK 🐻, AZ 🌵…

Customize and retry until you get what fits your style and data structure.

Example 5: Use Asana AI to Pre-Format Quarterly or Monthly Fields

Want dropdowns like:

  • Q1, Q2, Q3, Q4

  • January–December

  • H1, H2

Just prompt the AI using a title like "Quarter" and add a description:

“Create four options: Q1, Q2, Q3, Q4 with seasonal emojis.”

Experiment with your own use cases for recurring time-based fields.
